Create an Invoice from Manual Bookings

The important things to remember is that invoices can only be created from a 'Payment Schedule.'  This means that after creating a manual booking you must create a payment schedule prior to creating and publishing invoices.  To do this:

  • Log into your WeddingWire account
  • Under the 'Clients' tab, select 'Bookings'
  • Click on the name of the manual booking
  • Scroll down to the 'Payment Schedule' heading
  • Click the 'Add Pay Schedule' button to begin creating a payment schedule for this booking
  • Enter the amount for this payment and the due date
  • Click 'Save'
  • Continue to add payments through the 'Pay Schedule' button until you have satisfied the full amount


At this point, you can create an Invoice for each of the scheduled payments!  To start:

  • Click the 'Create Invoice' link next to the first payment
  • You can make edits to various elements of this invoice by clicking the 'Edit' button next to the heading:
    • Bill To:  Client information
    • Invoice Details:  Information about payment
    • Payment Details:  Payment amount and due date
    • Payment Method:  Accepted methods of payment
  • Click 'Save' when you have completed each section
  • Click the 'Publish Invoice' button
  • You can send an email notification to your client informing them that this invoice is now available through their client site. 
  • Edit the body of the text as desired
  • Click 'Send Email'
  • You can also skip this by clicking the 'To skip, click here' link
