Guest List FAQ

Key Reminders for the Guest List

Guests: 

  • Individuals who will be invited to one or more of your wedding-related events. You may have multiple guests added per Household and you must add each person separately.


Household: 

  • All guests you would include in one invitation.
    • Example:
      • Household: The Smith Family
      • Guests: David Smith, Jill Smith, Scott Smith, Cindy Smith


Events:

  • You can customize wedding-related events and compile a separate guest list for each one.
  • In addition to the Ceremony and Reception, you can also create your Couples Shower or even your Bachelor/Bachelorette Parties!
  • Each event will even have its own seating chart that coordinates with your guest list.

Adding Guests and Households:

How do I create a household and add a guest?

  • Log into your WeddingWire account
  • Hover over ‘Planning Tools’ and select ‘Guest List’
  • Click ‘Add New Household’ from under the ‘Overview Tab’
  • Enter the Household name (i.e. ‘The Smith Family’) & enter the address
  • Under ‘Guests in This Household’, add the Guest’s first & last name
  • Click ‘Add’ and repeat for each Guest within a Household
  • Click ‘Save’ when you have added all the guests to that Household


How do I add guests to an existing household?

  • Log into your WeddingWire account
  • Hover over ‘Planning Tools’ and select ‘Guest List’
  • Click on a Household you would like to add guests to
  • Under ‘Guests in This Household’, add the Guest’s first and last name
  • Click ‘Add’
  • Repeat for each guest within a household
  • Click ‘Save’

 

Where can I import contacts to my guest list from?

You can import your contacts into your WeddingWire guest list from the following:

  • Gmail
  • Yahoo
  • Linkedin
  • Windows Live
  • AOL
  • Plaxo
  • Address Book
  • Outlook
  • Excel Spreadsheet


How do I build my guest list by importing my contacts from an Excel spreadsheet?

  • Log into your WeddingWire account
  • Hover over ‘Plannning Tools’ and select ‘Guest List’
  • Click ‘Import Guests’ from the ‘Overview Tab’
  • Under ‘Import Guests’ click ‘Excel Spreadsheet'
  • Download the CSV Template
  • Determine Column Headers
  • Provide Optional Information within your file
  • Save spreadsheet and convert to CSV (Comma-Separated- Value) File
  • Select your new file by clicking 'Choose File'
  • Click 'Import File'


How do I build my guest list by importing guests from an e-mail service?

  • Log into your WeddingWire account
  • Hover over ‘Planning Tools’ and select ‘Guest List’
  • Click ‘Import Guests’ from the ‘Overview Tab’
  • Within the ‘Import Guests’ pop up box, select how you would like to import your guests.
  • Enter your e-mail address and password
  • Choose the guests to import
  • Click ‘Next’
  • Click ‘Assign to household’
  • Select an existing household or enter a new one AND Select the event that you would like to import the guests to
  • Click ‘Finish'


How do I edit an individual guest’s information?

  • Log into your WeddingWire account
  • Hover over ‘Planning Tools’ and select ‘Guest List’
  • On the ‘Overview’ tab, click on a specific Household
  • Under ‘Guests in This Household’ click on a Guest
  • Edit the information
  • Click ‘Save’


How do I batch edit guest information?

  • Log into your WeddingWire account
  • Hover over ‘Planning Tools’ and select ‘Guest List’
  • Select a specific event tab (i.e. Ceremony)
  • Click ‘Batch Edit’
  • Select the guests you would like to edit by clicking to the left of their names
  • Select ‘Edit List’, ‘Edit RSVP’, ‘Edit Meal’


How do I edit a Household's information

  • Log into your WeddingWire account
  • Hover over 'Planning Tools' and select 'Guest List'
  • On the 'Overview' tab, click the name of the Household you would like to edit
  • Edit the information
  • Click 'Save'

Creating Events:

How do I create an event?

  • Log into your WeddingWire account
  • Hover over ‘Planning Tools’ and select ‘Guest List’
  • Click the ‘More’ tab
  • Select an event from the list or click ‘Create new event’
  • Enter the event name
  • Click 'Create event'
  • Within the Event Settings page, select whether you’d like to track the meals, track the invitations, and design seating arrangements for this event
  • Select the list you’d like to invite & click ‘Save’

 

How do I delete an event?

We allow users to delete unnecessary events; however we DO NOT allow users to delete the Ceremony or Reception.

  • Log into your WeddingWire account
  • Hover over ‘Planning Tools’ and select ‘Guest List’
  • Click on the 'More' tab
  • Select the specific event tab you would like to delete
  • Click ‘More actions’ then click ‘Delete Event’

Note: Once an event has been deleted, the information cannot be restored!

Meal Selections:

How do I establish/edit meal selections for an event?

  • Log into your WeddingWire account
  • Hover over ‘Planning Tools’ and select ‘Guest List’
  • Select a specific event tab
  • Click ‘Settings'
  • In the ‘Meals’ box, delete the meals you will not be offering. You may also add meals to the selection by typing the name of the entrée and clicking ‘Add’
  • The meals that appear in the ‘Meals’ box should be the meals from which your guests may select
  • Click ‘Save’

Note: If you would like your guests to select their meal option when they RSVP, be sure that you have selected 'Track meals for this event'

 

Where can I find a summary of the meal counts for each event?

  • Log into your WeddingWire account
  • Hover over ‘Planning Tools’ and select ‘Guest List’
  • Select a specific event tab
  • Click ‘Stats’ and in the right-hand column under ‘Meals’ you will see a summary of the guests selections

Invitations Section:

How do I enter/edit the inner and outside envelope information?

  • Log into your WeddingWire account
  • Hover over ‘Planning Tools’ and select ‘Guest List’
  • Select a specific event tab
  • Click on ‘Invitations’
  • Click on the space located under ‘Inside Envelope’ or ‘Outside Envelope’
  • Include the text and when the envelope was sent
  • Click ‘Save’

Gifts Section:

How do I keep track of my gifts?

  • Log into your WeddingWire account
  • Hover over ‘Planning Tools’ and select ‘Guest List'
  • Select a specific event tab
  • Click ‘Gifts’ then ‘Add gift’
  • Enter the gift description
  • Select the household who sent the gift
  • Enter the date the gift was received
  • Enter when the 'Thank-You' card was sent
  • Click ‘Save & Close'

Sort Guest List:

How do I sort my Guest List alphabetically?

  • Log into your WeddingWire account
  • Hover over ‘Planning Tools’ and select ‘Guest List’
  • Select a specific event tab
  • To sort alphabetically by guest, click the header for ‘First Name’ or ‘Last Name’
  • To sort alphabetically by household, click the header for ‘Household’

Export Guest List:

How do I export or print my guests addresses?

  • Log into your WeddingWire account
  • Hover over ‘Planning Tools’ and select ‘Guest List’
  • Click 'Reports'
  • Under the event you are looking for click 'Print', 'Export', 'Email' or 'Custom' to select the specific fields you'd like to report next to ‘Invitations for [event name]

Note: In order to view the entire address for the outside envelope, you must expand the cell vertically
